Once your teams have been created for your school, you will add players to the Team Roster, you can do this in two ways. Note: you need to invite them to each team, so if a player plays in more than one team, you need to invite them to each one. You will need to create the teams first, if not using the teams available as default. To do this, click Add Team.
One you can share a link/ QR code and send this out to all players to accept and sign up or you can manually add them. We have Rostering Tips and Troubleshooting if you get stuck.
To Manually Add or Invite a player via link or QR code
Step 1: Go to your School Homepage
Step 2: From the Teams tab, select the team you would like to invite a player to.
Step 3: Once in the Roster, choose the season to display, and click Add Player.
Step 4: You will have two options here: Player Search - where you will manually add the player or Invite the player with a sharable link or QR code.
For Player Search: You can search by USTA ID or name. As names can be common, USTA ID is recommended. If you can not find the person, you may need to adjust the filters, i.e.
Once you find the player, you can check the O and then add player.
How to Invite Player
Select the second option - Invite Player, here you will be able to copy and share the invite link, Email the invite link, or ask players to scan the QR code to access the link. The QR code can also be printed. The QR codes are useful to print and put up on a notice board to ask those to sign up.
- Note: The links are particular for each team but not each player, so the same link is used for all players for that team.
- To add players to multiple teams, you will need to repeat this process for the other team.
Once Player enters the link, they will be asked to sign into their USTA account. They will need to create a USTA account if they do not already have one. They will be taken to the Team Roster Invitation which shows what team they have been invited to where they will need to tick the connected account and accept in order to be placed onto the roster.
- For a child under the age of 13, you will need to sign in using your (parent/guardian) USTA account. Once signed in, you can either select the child's account if they're already linked to your account or add the child to your account.
- If the child is 13-17 years of age, you can choose between signing in with their account or your own, if their account is linked.

Rostering Tips and Troubleshooting
- If Girls play on the Boys team - how to roster:
If girls play on a boys team, you must "add" a new team using the "Coed" Gender designation in order to roster both boys and girls. Do not use "Boys Varsity, JV., etc." in this case. Brush High school is an example. They created "Spring Varsity" and "Spring JV". Both allow girls on the Boys team and are designated as Co-Ed. Spring in Ohio=Boys season. Fall in Ohio=Girls season.
- Player has USTA number, but not found when trying to add to roster:
In the player search field, there is a first-time hidden "filter" that defaults to your state and player age 14-18. If you enter a USTA number or name and there are no results found, there could be 2 reasons: The player state does not match or their age is out of the default search range.
A. Click on the filter button and select "any state". Some players are not entering a state when they create an account. This also applies to a player who has a USTA number that was based in another state before coming to your state.
B. There are some players who are younger than 14 when they start high school. The age filter is currently defaulted to age 14-18. You may need to adjust the age range to find your player if they are outside of this age range.
- Exchange students, international students, etc. - USTA number creation.
Players with no USTA numbers can create a USTA free number (usta.com - sign-up or join) They enter their home country address - the USTA will create a number for them. If they want to play in USTA Section-level championship - very high level players (outside of HS tennis), they will need to enter a US-based address where they live in the US and attest to that US-based "visiting" address. When adding those players to the roster, you may need to remove any state designation in the filter to find them.
- Players can be members of multiple rosters, must be on the specific roster for a match:
If a player may play in more than one team level at a school (JV, Varsity, Varsity B, etc.), they must be rostered on each team individually. You can either repeatedly search and add or you can click "move" and then click "keep on existing roster" to copy their name from one team to another, leaving them on the original team as well.
- Rosters are evergreen - you must manually remove players (graduation, other reasons):
The system will keep all players on the roster(s) until you remove them. In the next season, your roster will have some returning players already on it. Simply add new players and remove those who graduated or are no longer playing.
