To import your adult members and contacts to Serve Tennis, this will need to be done in the membership module.
You do the same steps whether you want to add them to a membership package or to import to the contacts module.
To import your adult members, you will first have to Create a Membership Package. If the purpose is to upload your members to your contacts module. You can call it Contacts.
If it is to add them to a membership at your facility: You should create a package for all memberships available at your venue. E.g. Adult 2021, Student 2021, Senior 2021.
When creating your package, make its status hidden- you can change this later, but will prevent anyone registering before you are ready.
Once your package(s) have been created, you can now import your adult members into them by either importing from another package or by placing them into a spreadsheet and importing the spreadsheet e.g. to import a file into Student 2021, the spreadsheet should only be populated with your Student 2021 members.
There are two ways in which you can import members into an adult package, and they are:
Import Existing Package
To import from an existing package, use the drop-down box to select what package you wish to import from e.g. Adult 2020. These members will then appear within your Adult 2021 package as 'Pending' until their membership is paid.
Import from an External File
Please find an example adult import spreadsheet attached at the bottom of this article. You can use this spreadsheet to import, you will just have to clear the dummy data.
Feel free to populate the document with as much or as little information as you would like. You will be able to edit members information once they have been imported. Please Note: That the First Name and Last Name fields are compulsory for adult members.
Do not remove any columns or change the wording of each column. If you do not have the data, just leave them blank.
Within your email column, emails must be valid emails and contain an '@' sign. Please also keep an eye out for full stops, as this can cause an error when importing.
Once you have done this, the next step will be to populate your adult import spreadsheet with members relevant to the package you are importing to.
How to Import
Step 1: To begin your import, head to the Membership Module within the Admin area and click on the membership package that you would like to import into, in this example, it is Contacts
Step 2:Then click on 'Import members', where you will get the choice to either import from an existing package or to import from an external file.
Step 3: If you choose to 'Import from an external file', then download the template and enter all your adult members details.
By clicking on Download the adult members import template, this will open up in excel with the file you need. Please Note: That the First Name and Last Name fields are compulsory for adult members.
Step 4: Once you have added the data to your import file.
To import from an external file, firstly select 'Browse' to choose the file you wish to upload, and then click the 'Import' button. Once the file has successfully imported, go back into the membership package.
Please Note: If the spreadsheet contains any errors due to date or formatting, you will receive an error message in red (you may need to scroll down the page to see this depending on how many errors there are).
Once you have added the document it will show as below.
Step 5: Click Import - you members will be imported. You can see them in the contacts module and in the membership module.
Back in the membership module, you will now see all the members who are within that package. Here you will be able to send them payment requests, emails and invites.
You will also be able to email them from the contacts module.
