Serve Tennis provides you with the ability to email your registered players from the Tournaments module. You will also be able to view the telephone numbers of the players. All of this is available within the Serve Tennis Tournaments module - under the players tab and in Tournament Desk.
*Note: At the time of registration - players are requested to confirm which email and phone number they wish to receive the tournament communications. You can also send a SMS (text) message or email to your players from tournament desk and view the players profile. Within Serve Tennis, the admins have the ability to view a log of emails sent from the Tournaments module. You will be able to view the sent emails and their status (i.e. open, sent, blocked) in the email log.

Within the Players tab: you are able to view the player's email address and phone numbers for your reference to the right of the screen. You may have to chose these columns to be displayed, click More columns on the right and choose columns to display.
Please note: if you manually add a junior player into a tournament and they do not have a USTA login (e.g. they are linked to a parents account) no email will be displayed for the player
Sending an email through Serve Tennis-Tournaments Module
Step 1: In Tournaments module, in the players tab
Step 2: If you wish to send the email to all registered players click on the box next to name as shown below. This will select all players. If you only want to send an email to select players then only tick the box next to their names. It will show how many players are selected.
To send to just 1 or a few players - only tick the player you wish it to go to.
Step 3: Click on the email box in circle. This will open up the overlay of the email.
Step 4: Add a subject line and message. If you want a copy to be sent to yourself, then toggle - send me a copy so it shows blue. Remember you can see the emails in the email log too.
Step 5: Click Send
You will get a confirmation screen when it is sent.
Sending an email through Tournament Desk
Step 1: Click Launch Tournament Desk in the Tournament Module.
Step 2: Go to Participants Tab in Tournament Desk and select the players that you want to email.

- You can filter by event, status, gender or select individual players from the list using the search box. The draw status is useful because you can choose to only 'selected' players for example. Or you may want to email all 'alternates'.
- To send to all players in the list after you have used the filters you wish, you will tick the top box.
Step 3: Select Send email from the blue box
Step 4: Verify the recipients at from the drop down.
Step 5: Input an email that the recipients can replay to under Reply Email
Step 6: Input the subject and enter your message in the text box.
Step 7: Tick to send a copy of the email to yourself and tick to send a copy to tournament staff.
Step 8: Confirm all information is correct and click SEND.
Email Log- To view emails sent
The email log will include the following types of emails sent to players:
○ Manual Emails (Sent by the TD in the Players Page)
○ Player Selection Success / Failure Emails (automated)
○ Player Added by Admin to Tournament (automated)
Step 1: In the Serve Tennis admin page - click on the envelope found in the top right of the screen.
Step 2: This will open the email log. Here you can filter by date, email address, name, subject, status and type.
Step 3: If you click on the the email, this will show the content of the email.
The email will come from noreply@ustamail.com to the player. If you want to provide details on where they should reply, include this in the email body if this is different from the 'reply to' email you have added in the profile module. To change this: Setting up Your Account Profile
Email status :
Sent - they have received the email but it is not opened.
Opened - they have received and opened the email
Blocked - the email was not delivered. This can mean several different things. First, their email provider has blocked the email. You can ask the player to allow emails from USTA to receive future emails. To unblock an email, look up how to unblock the email for the carrier you use; each one is slightly different. Another reason could be that the email listed is not a real email address. You may want to checked blocked emails to see if they look real and ask them to update this on their USTA account.

Note: Where you see the Dear 'name', this will be the players name or parent/guardian of players name.

Q: How can I add another email address or phone number for a player?
A: You can do this via the Players Profile in Tournament Desk. See this guide: Player Profile in Tournament Desk
Q: The TD updated my phone number for my last tournament but my old number is showing in a current tournament. Why didn't my number update?
A: Updates made in Tournament Desk will only be for the current tournament and does not change the information in your USTA account
