Once you have created the event and have registrations. You will be able to see the participants names and contact details in the admin side of the Events module.
From here you can complete the following actions. Details below.
- Manually Add Participant(s)
- Download the Participants List to CSV
- Print the Participants List
- Email All Participants
- Send Payment Requests to Participants
- Mark as Attended
Manually Add Participant(s)
We recommend people registering for the event themselves. As this will ensure the information is correct, they will link their USTA account, so they will be able to see the details in their USTA schedule and going forward, you will ensure you have correct and upto date information on the players. However, it is possible to manually add players.
From your Event, you click on event in the admin module and this will show a list of participants for each session.
To add a participant. From the above page, click on Participant Options - then in the drop down, add participant. If they are already known to your facility, you can select existing contact, if not, then add the details.
Once you have added them, if there is a charge for the event, you can either send them a payment request or manually mark them as paid. To mark them as paid, click on their name to open the page, there you click edit payment, enter the amount they paid and click save.
Download the Participants List to CSV
From the same page, to download the participants list, select all players from that session by checking the box, then click on the Export button.
It will create a download to your computer.
Print the Participants List
From the same page, to print the participants list, select all players from that session by checking the box, then click on the Print Attendees button.
Email All Participants
From the same page, select all players by checking the box and then click on the envelope to create an email. This is useful if you want to provide more details on the event, have to cancel the event in short notice and follow up after the event.
Remember, all emails sent are viewable in the email log. How to View Sent Email Communications.
When sending an email, the email will include the person's name. I.e. It will say Hi Sarah, so when you compose the email, you only need to include the body of the text.
Send Payment Requests to Participants
If you are charging for your event and you have manually added that person. It is possible to send a payment request for them to pay online. Once they have paid online via Stripe, it will update in Serve Tennis to paid. Select the player(s) you wish to send the payment request to.
A pop up will appear. They will be charged the full amount. (You can't change this to a partial payment). If you want to add custom text in you can. The person added will receive a unique link in their email to complete the payment.
Mark as Attended
For open day and events where you hope you have a number of people turning up. It may be useful to mark who out of those who registered attended the day. Once entered, you can download this information using the export participants feature.
To mark attended, simply click attended in the box.
