Communication is a key component of any tennis business. Within Serve Tennis you can send emails to your players and members easily and from a number of different modules. You can also review the emails in the email log (How to View Sent Email Communications) to see if they have opened and read your email.
Sending emails from the Contacts, Membership, Court Booking and Programming/Camps Modules you have two options to send emails:
Note: Sending emails from the Contacts Module allows an attachment to be included with the email.
Email multiple contacts
Step 1: Open up the admin area of Serve Tennis and select 'Contacts' to open the contact module
Step 2: Select the contact(s) you are looking to email by checking the box to the left of the screen. To select all, simply check the box above the filter fields. You can use the filters across the top as needed. i.e. you only want to email active members, or those over 60 years etc.
Step 3: Select the email icon located in the circle towards the top of the screen:
Step 4: Complete your email. Please remember to select the 'include unregistered' box to send your emails to those who haven't yet registered to the platform.

To view who your email is going to, click 'show recipients'.
- Note: The number may be lower than the number of contacts selected as this could be that the member has unsubscribed from emails, doesn't have an email address associated with their record, appears multiple times or is a Junior.
- Emails can be created in rich text format, allowing you to use the text and layout design of your choice. You can also add an image into the email body, but please note, you cannot currently resize images, this enhancement is coming soon. You can add hyper links.
Remember, the email is already addressed to your member. See Hi (First Name).
Step 5: If you wish to add an attachment, simply click 'Browse...' and you can select the attachment you would like. Please note that you can only attach one file currently, and it must meet the format and size requirements.
Step 6: Tick on to send yourself a copy of the email and click 'Send'

Individual Contact Emails:
You are able able to email individual contacts from a member's contact profile.
Step 1: In the contacts module, click on the name of the contact you would like to email, this opens their contact record.
Step 2: At the top right of the screen, click Email.
Step 3: Complete the content of the email. Emails can now be created in rich text format, allowing the you to use the text and layout design of your choice. You can also add an image into the email body, but please note, you cannot currently resize images, this enhancement will released in the future.
Step 4: Once you are happy with your email, click 'Send'
Emailing From the Programming/Camps Module
This is no different from the other modules, but allows you to just email the participants at that program camp.
Step 1: Open the programme you wish to contact. It can be an active program or a completed program.
Step 2: Select Participants tab
Step 3: Then select All or one of the participants - to select all, check the box at the top or just individual people. Note: If it is a junior contact, you will only be able to contact a linked guardian/parent and if they have an attached email address. If they signed up themselves then this will show. If manually added, then the parent email will need to be added at the point of sign up.
Step 4: Once the participants are selected, the option to click on the envelope (email) will appear.
Step 5: Click on the envelope to open the email.
(Note - as above, only 3 participants have a contact listed in Parent Email - and one of them has numbers and not an email. It will still try and send the email to the numbers but it will fail. You can view the email list by clicking Show Recipients.)
Step 6: Write the email then click Send. It will automatically populate the first name, so you don't need to include that. If you have added a logo to the website settings, a logo will appear at the base of the email. Your Website Settings
